Terms and Conditions

Pronzo Tours and Travel


Payment Terms

Upon confirmation of a booking via email, a detailed itinerary—including pricing per person, group, or MICE (Meetings, Incentives, Conferences, and Exhibitions)—will be shared with the client or travel agent.

After receiving email confirmation of the itinerary and pricing from the client/travel agent, an invoice will be issued based on the itinerary and any additional requested services.

  • A 30% deposit is required to confirm any booking, payable via bank transfer or secure online payment. Payment instructions will be provided upon trip confirmation.
  • International clients and travel agents are required to pay in USD as quoted. Payments in other major currencies may be accepted, subject to prevailing exchange rates.
  • Pronzo Tours and Travel is not liable for unconfirmed services due to delayed or missed payments or lack of communication.
  • The remaining balance must be paid at least 30 days before the travel start date.
  • For trips including gorilla or chimpanzee tracking, full payment for permits is required in advance for each participant.

Cancellation Policy

We understand that plans can change. Our cancellation policy aims to minimize costs while ensuring our obligations to service providers:

  • 30+ days prior to arrival: 0% of the deposit forfeited
  • 29–10 days prior: 50% of the total cost forfeited
  • Less than 9 days prior: 90% of the total cost forfeited
  • No-show: 100% of the total cost forfeited

Note: Gorilla and chimpanzee permit rescheduling is subject to availability and requires full prior payment.

All cancellations must be submitted in writing and are effective upon receipt by Pronzo Tours and Travel.

Refunds will be processed to the original payment method within 90 days.

If the balance is not paid as outlined, the booking may be cancelled unless otherwise arranged in writing or due to a force majeure event.


Jurisdiction & Legal Framework

All bookings are governed by the laws of Uganda. Any legal disputes will be resolved through Ugandan courts, unless resolved through arbitration.


Company Responsibility & Liability

While we take every measure to ensure safety and satisfaction, safari travel carries inherent risks, especially in remote areas.

  • Pronzo Tours and Travel reserves the right to substitute accommodations or alter itineraries due to weather, road conditions, airline issues, or safety concerns.
  • We are not liable for loss, injury, death, delays, or damages arising from third-party services, force majeure, government actions, terrorism, or unforeseen events.
  • Baggage is carried at the owner’s risk.
  • Airlines used may have limitations of liability as noted in their ticket conditions.

Unruly behavior that endangers others or damages property may result in a traveler being removed from the tour without refund.


Complaints Policy

If any issue arises during your trip, please notify your guide, our local representative, or head office immediately so we can resolve it.
Formal complaints must be submitted in writing to admin@pronzotoursandtravel.com within 20 days of your return.


Travel Insurance

We strongly recommend that all travelers secure comprehensive safari insurance that covers:

  • Medical emergencies
  • Evacuation
  • Cancellation and curtailment
  • Personal belongings and money loss

Travelers must share the name of their insurance provider, policy number, and emergency contact before the trip begins.


Health & Safety Support

We partner with BAR SOS, a professional risk management company, to ensure:

  • Emergency air evacuation
  • Real-time travel monitoring
  • Satellite SOS communications

These services ensure peace of mind and rapid response in remote areas.


Wildlife Interaction

  • Guests should avoid close contact with wild animals. Though rare, wildlife incidents are unpredictable.
  • Many lodges are unfenced and wildlife may roam freely. Safety instructions from guides and lodge staff must be followed at all times.

Photography Rights

Pronzo Tours and Travel may use photos or videos taken during tours by staff for marketing purposes without requiring further consent or payment.


Transport

  • Our safari vehicles are custom 4×4 Toyota Land Cruisers with pop-up roofs and sliding windows for wildlife viewing.
  • Roads in Uganda can be rough and long. Vehicles are not air-conditioned but equipped for safari conditions.
  • Local flights can be arranged to reduce overland travel time at additional cost.

Electricity & Power

  • Many lodges use generators, operational mainly in the mornings and evenings.
  • Uganda operates on 240V, 50Hz power using UK-style three-pin plugs.
    We recommend bringing a universal travel adapter and a torch.

Water Use

  • Tap water in most accommodations is not safe to drink.
    Pronzo Tours and Travel provides bottled water for drinking and brushing teeth.

By booking a trip with Pronzo Tours and Travel, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions, as well as our:

  • Wildlife Conservation Policy
  • Community Support Policy
  • Any other applicable policies posted on our website

Booking constitutes your acceptance of and agreement to comply with these terms.
